Marketing Agency Administrative Support
Our marketing agency is currently looking for an experienced Office Administrator to work in our Woodbridge, NJ office for 15-20 hours per week. This position will play an integral role in the customer service and organizational strength of our company. The Office Administrator will provide administrative support, answer and respond to calls and emails, and manage the sales team calendar for client meetings. Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi-task and a friendly demeanor in a business-casual office environment. Some work from home flexibility based on experience and initial office training.
Office Administrator Responsibilities
- Conduct administrative support, including digital filing, answering phone calls, responding to emails, preparing sales documents, handwriting notes to clients
- Coordinate project deliverables for clients including walking clients through some administrative tasks over the phone
- Coordinate project deliverables for staff
- Periodically call clients to ensure customer satisfaction
- Data entry for new client requests into task management tool
- Coordinate project deliverables for staff
- Follow-up with third party vendor deliverables
- Perform payment follow-ups with clients (no invoicing experience required)
- Schedule meetings for sales team on dedicated calendars
- Greet office visitors as needed
Requested Office Administrator Skills
- Associate degree required (Bachelor’s degree preferred)
- 2+ years’ administrative experience working in an office environment
- 2+ years’ administrative experience working in an Technology Firm or Marketing Agency preferred, but not required
- Excellent written and verbal communication skills
- Strong knowledge of Excel, Word, PowerPoint software
- Strong knowledge of Facebook and Instagram; willing to learn Twitter and LinkedIn platforms if unknown.
- Willingness to learn technology, website, social media, hashtag and marketing terms
- Ability to multi-task and prioritize projects
- Customer-service oriented and a friendly demeanor is required
- Able to complete complex administrative tasks with minimal supervision after initial training is required
